How do I become a member of USHA?

We are a Full (Institution) Member what does this mean?
This membership is for the Institution as a whole and covers all individual personnel in your team.
I have a new member of my team how do they get web access?
Log on to www.usha.org.uk and follow the joining instructions found under USER GUIDE at the top of the home page.
You will need to create your own user name and password. All user names must end in ‘ac.uk’
When you first try to gain access we will be sent notification so we can check your Institution is a valid member of the Association. You will then be notified that you have been approved.
I can’t log on to the website?
Within the USER GUIDE you will find useful information if you have forgotten your user name or password.
I have a new member of my team how do they get onto Hasnet?

There has been a change of personnel in our team what do we do?
It is your responsibility to contact the USHA Central Administration team to notify of any changes to adjust USHA records.

How do I join a Regional Group of USHA?
Contact the coordinator of the group in your area who can give details of the next meeting.
Most regional groups meet twice a year in the spring and autumn. Each Institution takes it in turn to host a meeting. Current issues for the region and best of practice are discussed.
The coordinators meet biennially with the Executive Board to assist with the Strategic Planning Policies of the Association.
When are membership renewal invoices sent out?
Membership is from the 1st August to the 31st July.
Renewal invoices are scheduled to go out before the end of the academic year (June-August) with payment to be received no later than 31st December.
It is the responsibility of the named person on the USHA records to forward the invoice to their financial departments for payment.
If payment is not received all benefits will be withdrawn by approval of the Executive Board. This will include limited access to the website, removal from all Hasnet groups, no invitation to Groups and no USHA discount at conferences or training events.
Annually a Contacts Sheet is sent out to update USHA records.
I am attending an USHA Conference / Seminar or Training Event who do I send the Booking Form to?

How do I know that I have a place reserved for me?
On receipt of your booking form a confirmation email will be sent
Payment can be made by credit card, BACS or cheque.
Please ensure you use the correct Bank account which can be found on the Booking Form and notify your finance department.
An invoice will be sent to the delegate unless we are advised to deal direct with a finance department
What happens if I need a Purchase Order Number?
We will not issue an invoice until we have received your purchase order number.
Will I get a receipt for payment?
Once payment has been reconciled you or your designated finance department will receive email confirmation
I wish to cancel my booking what do I do?

Please refer to the USHA cancellation policy on the booking form and an administration fee may be applicable.
When will you be sending me joining instructions?
Joining instructions are issued once full payment has been received.
How do I register at the event?
Please make your way to the USHA REGISTRATION DESK at the venue.
You will be asked to sign in and then receive a name badge and welcome pack.
I am trying to book accommodation and make travel arrangements can you help?
You will find programme and discounted accommodation recommendations on the ‘event website’
How can I exhibit at an USHA event?

I am exhibiting at an USHA event I need help with the logistics?
All companies attending receive an ‘Exhibitors Fact Sheet’ detailing access, set up arrangements, stand capacity, parking, and contacts at the venue.

Is my exhibition place guaranteed?
Your stand is only guaranteed once payment has been reconciled.
When do Exhibitor payments have to be made?
Payment must be made on receipt of the invoice prior to the event.
I wish to cancel my exhibition stand?
Please refer to the USHA cancellation policy on your invoice and an administration fee may be applicable.
As an exhibitor can I bring some guests?

As an exhibitor can I also speak at the event?
Requests to appear on the programme need to be made to the Executive Officer Lynda Couch-Smith for consideration. Presentations proposals will be considered by the organising committee.

I cannot take an exhibition stand how else can I get involved?

I am presenting at an USHA event who can help me about arrival and AV needs?
All speakers receive an Information Sheet detailing venue address, the conference programme,arrival times, AV requirements, and accommodation suggestions if applicable.
